ScoutAround connects property owners with filmmakers seeking to shoot in unique locations.
Our online platform allows filmmakers to search for film-friendly spaces, communicate with hosts, and handle payments seamlessly in one place.
ScoutAround has two primary objectives:
First, to make it easier and more affordable for filmmakers to discover and book distinctive filming locations.
Second, to provide property owners with a new avenue to showcase their properties and earn additional income.

We designed ScoutAround's cancellation policy to offer flexibility for filmmakers while ensuring security for our hosts.
Once a property booking is confirmed by the host, the following cancellation and refund rules apply for filmmakers:
1. All confirmed bookings are subject to ScoutAround's Grace Period policy, allowing a full refund for cancellations made within 24 hours of confirmation, except for bookings confirmed within 48 hours of the start time.
2. Cancellations made outside of 48 hours before the booking start time will receive a 50% refund.
3. Cancellations within 48 hours of the start time are non-refundable.
The host is entitled to a portion of their payout based on when the filmmaker cancels. ScoutAround retains its standard fees for all cancellations.

Please note: add-ons are not the same as additional fees. Add-ons follow the same cancellation terms as the location fee.
- If a booking is canceled outside of the 24-hour grace period but more than 48 hours before the start, 50% of the add-on fee is refundable.
- If canceled less than 48 hours before the start, the add-on fee is non- refundable.

To cancel, please reach out to us at cancellation@scoutaround.io with your name and booking date, and we will process your cancellation according to our guidelines.

Refunds to filmmakers are only applicable upon cancellation. Please carefully review the cancellation policy before finalizing a booking request to understand the refund eligibility in the event of a cancellation.

Refunds may take up to 6-10 business days to reflect in the filmmaker's bank account.

To enhance your booking flexibility, we’ve introduced the Instant Book feature. With this option, filmmakers can book your location instantly, provided the times and dates are available on your ScoutAround Calendar.

Benefits of Instant Book:
- Saves time by eliminating the need to log in and accept requests.
- Increases the likelihood of bookings since filmmakers prefer locations with Instant Book enabled.

How to set up Instant Booking:
During the property listing process, you’ll be prompted to select “instant booking” or “inquiry only.”

Instant Book Rules:
Once enabled, guests can book instantly. You can cancel without penalties if you feel uncomfortable with a reservation for specific reasons:
- The guest indicates they may violate your location rules.
- The guest is booking for an activity not permitted by your listing.
- The guest does not respond promptly in the booking chat.
- The guest has several concerning reviews.

Cancellations not aligned with these reasons may incur penalties and could affect your rating or lead to termination of the Instant Book feature. For detailed information on our cancellation policy, including host-initiated cancellations, please consult our latest Terms of Service.

You’ll always receive at least 24 hours' notice from the time an Instant Booking is confirmed to when it begins. The Instant Book feature is optional, and you can enable or disable it at your discretion.

Benefits of booking through ScoutAround:
- Increased visibility as you accumulate bookings and reviews, improving your search ranking.
- Assistance with overtime and damages post-booking.
- Opportunity to achieve Superhost status and boost demand.
- Booking outside of ScoutAround violates our terms and may result in account suspension.
We believe in a mutually beneficial relationship based on trust with our hosts.
Taking conversations off the ScoutAround platform violates our Terms of Service, designed to ensure a secure and positive experience for all users.
Accepting payment outside of ScoutAround voids the protections outlined in our Terms of Service, including cancellation and dispute resolution policies.
Hosts violating this policy may be removed from the community and charged for any owed service fees.
If a filmmaker attempts to initiate a conversation or transaction outside the platform, please report it to us immediately.

ScoutAround does not charge commission from the host's payout (location fee + any additional fees). Therefore, if you set a rate of 100 euros, you receive the full amount (minus transaction/bank fees).
ScoutAround charges a 15% fee from the filmmaker, covering payment processing, product development, customer support, fraud prevention, and more.
This fee may vary based on the total cost and features of the booking; as booking costs increase, the fee may decrease.
The 15% commission and processing fees help us support development, platform maintenance, marketing, search engine optimisation, and 24/7 customer support.

Typically, it takes about a week for a listing to be reviewed and published due to the high volume of submissions. We strive to contact each potential host to explain any missing elements from their listings.
To expedite your approval, please ensure:
- At least five high-quality photos are provided.
- Pricing for your location is specified.
- A description of your location is included.
- An address for your location is provided.
- No business names, numbers, or addresses are present in your listing.

A location manager serves as an impartial third party who assists both the property owner and the filmmaker, ensuring that everything runs smoothly in accordance with your location rules—such as preventing damages and ensuring off-limit areas are respected.
You have a few options regarding location management:
- Manage your property yourself during bookings; a location manager isn’t required.
- Provide your own location manager/property manager during bookings and charge a corresponding fee.
- Request a ScoutAround location manager. We can assign a professional location manager, typically charging 400 euros for a standard 10-hour day, 450 euros for a 12-hours and 500 euros for a 14-hours day.

As a host, your payout is determined by your daily rate multiplied by the number of days rented, minus the standard transaction fee from ScoutAround.
We utilize Stripe for bookings, which charges 2.9% + 0.30 per transaction.
For example, if your daily rental rate is 1,500 euros for a 3-day shoot, your subtotal would be 4,500 euros, and your final payout would be 4,369.20 euros.
You also have the option to offer a Custom Rate—a one-time special rate for the booking to accommodate the filmmakers budget.

If your booking request has not yet been accepted, you can cancel it and submit a new one. For confirmed bookings, you can update your request by going to Bookings > the relevant booking > and selecting the “Update Booking” button at the bottom of the page.

Once you click Update Booking you will be able to adjust the hours, change the crew size tier or request a date/time modification. After submitting an update offer, your host will be notified via email for approval. Upon approval, your card will be charged/refunded based on the modifications, and both you and the host will be notified through the app and email. The Location Agreement will be updated and available on the Booking page.

Please note that until the host approves the update, the current booking details and Location Agreement remain in effect.
